Administrator to enhance our dynamic team.
Job Description:
The Virtual Finance & Accounting Administrator will play a crucial role in managing financial and
accounting processes for the company. This remote position requires a self-motivated individual
with strong organizational skills and a keen eye for accuracy. The successful candidate will
collaborate with the finance team and other departments to ensure smooth financial operations.
Responsibilities:
● Bookkeeping and Financial Record Maintenance:
○ Manage the day-to-day bookkeeping activities, including recording transactions
and maintaining accurate financial records.
○ Assist in doing reconciliations of bank statements, credit cards, and other
financial accounts including but not limited to daily cash reporting and assisting
team members as needed.
● Invoicing and Accounts Receivable:
○ Generate and issue client invoices in a timely manner.
○ Monitor accounts receivable, follow up on outstanding payments, and ensure
timely collections.
● Expense Management:
○ Assist in processing and reconciling expense reports in bill.com / Ramp
○ Track and manage company expenses, ensuring compliance with financial
policies.
● Financial Reporting:
○ Assist in report creation, report running and collaborating with the finance team
on the monthly/quarterly and annual reporting.
○ Assist in the analysis of financial data to support decision-making processes.
○ Management and maintenance of companywide fixed asset ledger
○ Preparation of yearly Property Tax Declarations
● Financial System Maintenance:
○ Utilize accounting software (QBO) and tools to streamline financial processes.
○ Recommend improvements to enhance efficiency and accuracy.
Requirements:
● 3+ years of experience as a Finance & Accounting Administrator or similar role.
● Proficient in QuickBooks Online, Bill.com, Microsoft Office, Microsoft Teams.
● Excellent attention to detail and accuracy in financial data entry.
● Collections/accounts receivable experience, specifically dealing with insurance
companies and claims.
● Ability to understand and align departmental goals with the overall business strategy,
ensuring a cohesive approach across all branches.
● Proven dedication to providing exceptional customer experiences with a focus on
understanding and meeting customer needs.
● Proven adaptability to different work environments and an ability to navigate the
complexities of a multi-departmental business structure.
● Effective English communication skills and ability to collaborate in a remote team
environment as well as ability to communicate with customers verbally and via email.
● Self-motivated, proactive, and able to meet deadlines.
